Job Description

The Payroll Accountant will serve as the point of contact in unifying the New Charter Technologies multiple partner company FEIN environment into one consolidated FEIN, while supporting payroll operations and assisting the accounting team in maintaining accurate books and records in accordance with the state and IRS payroll and accounting policies and procedures. This position will work with Finance and HR departments to process full-cycle payroll for all New Charter Technologies and Operating Company staff, as well as monitor payroll schedules, compile payroll information and manage payroll preparation and execution, ensuring all payroll procedures are compliant, efficient, and current.

Primary Responsibilities

Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers.
Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts on a weekly or semi-monthly basis.
Records payroll transactions, maintaining the chart of accounts and general ledger, and correct mapping within UKG and Business Central.
Leads the convergence to one EIN including planning, organizing, and executing deliverables to achieve a successful migration.
Coordinates between timekeeping and payroll systems and works with managers and staff for timekeeping approvals and submission.
Serves as the point of contact for State and IRS tax and licenses, in addition to the vendors associated.
Ensures compliance with federal and state regulations related to payroll, including tax withholding, benefits, and payroll deductions.
Audits and ensures completeness and accuracy of benefit tax codes used for payroll.
Analyzes the accuracy of final payroll in the G/L and related balance sheet accounts and resolves any discrepancies promptly.
Balances the payroll accounts by resolving payroll discrepancies.
Provides payroll information by answering questions and requests from employees.
Maintains payroll guidelines by writing and updating policies and procedures.
Reconciles and prepares payroll headcount reports for management and executive leaders.
Collaborates with HRBPs to ensure accurate employee payroll records.
Communicates with business leaders and employees regarding payroll-related inquiries and issues.
Contributes to and guides the improvement and optimization of internal systems and procedures.
Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
Liaises with auditors and manages payroll tax audits.
Maintains employee confidence and protects payroll operations by keeping information confidential.
Contributes to team effort by accomplishing related results as needed.
Assists with other accounting and finance functions as needed.

Skills & Experience

Minimum of 5 years of experience with independently managing payroll accounting activities.
Strong understanding of payroll accounting principles and practices.
Experience with managing federal and multi-state payroll regulations and tax rules.
Familiarity with payroll accounting software and systems, such as UKG and Business Central.
Previous experience with leading and executing complex projects from concept to completion.
Bachelor’s degree in accounting, finance, or a related field, preferred.
Intermediate proficiency in Microsoft Excel.
Excellent analytical and problem-solving skills with an affinity for process improvement.

Physical Requirements

Work is primarily knowledge-worker oriented using computer systems. Occasional exertion and lifting of up to 20 pounds to move office or computer equipment. Occasional crawling, kneeling, and squatting. Constant use of computer (keyboard/mouse), and phone. Visually inspects, prepares, and analyzes data & figures; views computer constantly. Occasional travel (car). Occasional exposure to outdoor environmental conditions as a result of travel.
